MAKING AN ENTRY ON THE KANSAS EVENTS CALENDAR

 

Go to URL:

You can click on any event on the calendar itself and then click on the HOME button for the calendar system.

Go to: Add/Edit/Archive

 

In

EVENT MAINTENANCE

 

Click on “Add New Event” on top bar

“Add a New Event Form” will appear

 

Put in EVENT DATE – M/D/YYYY

 

Pick RECURRING OPTION – One Time or Recurrence Schedule

 

It is best to select One Time unless it really is the same event recurring on a regular schedule.

 

Put in EVENT TIME – Put in “Start Time” or select “All Day”

 

If you use Start Time, put in Event Length – System will indicate Ending Time.

 

You can put in time needed for Set-Up Time or Take-Down Time if these will help.

 

EVENT INFORMATION

 

LOCATION: This system requires all locations to be pre-set, which is not practical for a statewide calendar. So please select “See Event Description Field” in the pull-down menu or SLK ELMER

 

For most Horizon Wimba and OPAL events, it is OK to select “No location needed”

 

EVENT TYPE: At this time, we have the following event types color-coded into the system:

 

Conference – Pink text

Meeting – Blue text

Workshop – Aqua text

Online Event – Dark green text

Video-Conference Event – Purple text

Literary Event – Light Green text

Other – Red text

 

EVENT TITLE: Put in official name of event

 

EVENT DESCRIPTION: Put location, event description and essential information that participants will need.

 

OTHER INFORMATION: This field can be used for additional information such as information on costs or information on presenters.

 

PRESENTER: Presenter or presenters can be listed here.

 

INTERNAL EMAIL:  This a contact email for internal reference. It is not a required field but is often the same as the contact email.

 

CONTACT NAME: In these boxes, you enter the name, email address and phone number of the official contact person. The name will appear on the calendar as a hotlink that will take users to an email form. The phone number will appear on the calendar.

 

LINK TEXT: This is the best place to put Click here for Program Flyer or Registation Form if you want to use your own registration rather than the Events Calendar Registration System. The link text will appear on the calendar as a hotlink that will take users to the registration form or anything placed in a linking URL.

 

LINK ADDRESS: This is where the URL for the hotlink information is placed.

 

PR REQUEST: This is an optional field and not usually used in statewide calendars.

 

INTERNAL NOTES: This is where any private notes about the administration of the event can be placed. This information will not appear on the calendar entry.

 

REGISTRATION INFORMATION: If you wish to use your system, library or organization registration system, you must click on “No Registration. In this case, you may put a registration hotlink on the event form and that will appear on the calendar entry.

 

If you do want to use the registration system of the Evanced Calendar Program, it is best to click on “Patron and Staff Registration.”

 

The internal system will track registrations, paid registrations (if payment is required), payments pending and cancellations. It will give a confirmation number for each registrant and allow notes to be added on each one.

 

ADMINISTRATIVE INFORMATION: The system will show when the entry was created and when it was last modified.

 

SAVING FORM:

When the Event Entry is completed to your satisfaction, remember to click on the SAVE button to upload. The system will show the Event Information Form. If it is not correct, you can click on the EDIT box.

 

To see the published calendar, go to

“Calendar/Registration”

Under REGISTRATION AND ATTENDANCE

 

If any page has expired when you go back, you can usually re-enter by hitting the double arrow refresh button on the top menu bar and asking for “Retry.”

 

You can edit the record at any time. Just remember to save the changes.
